The Workflow column view displays the workflow template that is currently in effect within a module. Only this template is available for selection or modification by the Project Managers or exto Admins within your company.
If you wish to create another workflow template for the same module, then create a new module and add the relevant workflow template to that module. See how to create and activate workflow templates.
You can view the step properties of the template and modify or delete the unwanted details from the properties.
Access the Workflows menu within a module to see the active workflow template. The active workflow template displays with the status Published.
The system allows you to create only one workflow template but with multiple versions for a business process.
You have an option to modify or delete only a workflow template that is in draft state. Open the workflow within a module and click on a step in the workflow designer to modify the step properties.
You can save a workflow in an exto module to which you have access permissions.
Save your partially completed workflow template as a draft to access it later and complete.
Note that Templates in draft state cannot be applied to any submissions during the project lifecycle.
With versioning, you can create multiple versions of workflow templates and allow specific versions to be executed in projects.
Workflow Template created for the first time within a module comes with a default 2-step workflow and labeled as Version.
Only on save the workflow template increments to the next version. In this way, more workflow versions can be created from the initial version.
If you are sure that you no longer need a workflow template, you can delete it.
The system allows you to delete only an unpublished workflow template available in draft state. Delete option is enabled only for draft workflow templates.
Open the template in draft state and click the Delete button.
